Before sending a property PDF, check more than the cover
A property brochure may look finished in the design application and still be awkward to use after export. The recipient might be unable to copy the address, search for a suite number or follow a contact link. A rent-roll table can look aligned while its extracted text reads in the wrong order.
Review the exported PDF as a separate deliverable. Keep a short pre-send record tied to the exact file version, then repeat the affected checks after any correction. This is a practical usability check, not a certification of accessibility compliance.
Search for a fact and copy it into a blank document
Search the exported file for the property address and an approved suite identifier. Select a sentence and paste it into plain text. Check whether characters, spaces and punctuation survive. If the page behaves like a photograph, investigate the export settings or the source material.
Adobe's PDF accessibility guidance explains why image-only text needs optical character recognition before it can be searched or used by assistive software. It also describes the role of document tags and language settings. Searchable text is one part of the job, not proof that the reading experience is correct.
When the editable design file is available, correct the source and export again. If OCR is necessary for a scanned attachment, check the recognized text against the original, especially addresses, areas and financial figures. Do not let an OCR guess become a new property fact.
Follow the reading order through a difficult page
Choose a page with columns, captions or a table. Check that the text flows in a meaningful sequence, with a heading before its section and labels connected to the correct values. A visual left-to-right inspection is not enough when the document structure differs from what is on screen.
Adobe's Reading Order tool documentation describes checking and correcting the order of page regions. Use the appropriate accessibility tools and review meaningful image descriptions. Decorative background elements should not interrupt the information a reader needs.
For a property table, check that suite, area and status remain associated when read. If the export scrambles them, fix the source structure or the PDF tags and retest. Mark any unresolved issue clearly in the review record instead of relying on an automated pass alone.
Open the actual download on a phone
Use the file from its intended download link, not just the designer's local copy. Check it on a normal mobile connection. Can the recipient identify the property, read the key facts and reach the contact details without repeatedly hunting across a large page?
Zoom into the site plan and the smallest labels. Check whether compression has removed useful detail. A smaller file that makes suite labels unreadable is not an improvement. If a large plan needs a separate download, label that link clearly and keep the main brochure useful on its own.

Test every action and reconcile the facts
Open the property website, map and contact links. Confirm that they lead to the intended destination and that displayed contact details agree with the link target. For a QR code, scan the final exported version and any print proof that will be distributed.
Compare the PDF with the current approved property information and webpage. Review availability, suite identifiers, area descriptions, asking terms and the contact team. If two approved sources disagree, ask the person responsible for the property information to resolve the discrepancy before distribution.
Keep a copyable sign-off record
- File: exact filename, revision date and download address.
- Facts: source reviewed, unresolved discrepancies and person confirming corrections.
- Text: search, copy-and-paste and reading-order results.
- Display: phone review, plan-label readability and print proof where applicable.
- Actions: website, map, contact and QR destinations checked.
- Release: reviewer, approval status and the file actually uploaded.
Save the approved export with that record. After replacing a brochure, download it again from the public link to confirm the new file is served.
