When it pays

When back office automation is worth doing

  1. 01

You’re about to hire another clerk

If the job is retyping quotes, orders or invoices, software can draft most of it for the people you already have.

  2. 02

    Slow quotes are losing bids

A request answered in minutes reaches the buyer while they are still deciding, not the next morning.

  3. 03

Someone who knows the process is leaving

Writing the steps into software keeps that knowledge in the company after they go.

  4. 04

    You already have the software

We build around QuickBooks, NetSuite or the ERP you run now. Nothing gets replaced.

What we automate

THE WORK YOUR
TEAM retypes

Six common first builds. Each one drafts the work, and a person approves it.

01

Quote desk

Reads emailed requests for quote, matches each line to your catalog, pulls price and stock, and drafts the quote for a rep to approve.

02

Order entry

Turns purchase orders that arrive by email or PDF into draft sales orders in your system.

03

Vendor invoices

Reads invoices as they arrive, codes them, and queues them in QuickBooks or your ERP for approval.

04

Customer inbox

Sorts incoming email, answers order status questions from your system, and routes the rest to the right person.

05

Dispatch and scheduling

Builds the day’s schedule from new jobs, crew availability and locations, for a dispatcher to adjust.

06

Owner report

Assembles the weekly numbers someone currently pulls together by hand.

Two weeks

HOW THE FIRST
BUILD works

  1. 01Week 1

    Interviews

You and three to five people from the desks that handle quotes, orders, invoices and customer email.

  2. 02Week 1

    The map

The three to five workflows that take the most time, each with an estimate of what it costs you per month.

  3. 03Week 2

    The first build

The most valuable workflow, built and running on your real data. Your team approves every output.

  4. 04End of week 2

    The plan

A written plan for the rest, with costs. You decide whether to continue.

Your project

YOUR FIRST
build

The proposal confirms the workflow, schedule and fee before work starts.

  • Interviews with you and your team
  • A map of the workflows that cost the most, priced per month
  • One workflow built and running on your data
  • A written plan for the rest
  • After the buildAn optional monthly plan for new workflows, monitoring and fixes, month to month.

Software subscriptions and model usage are passed through at cost and listed in the proposal.

Questions

What kinds of companies is this for?

Distributors, wholesalers, contractors and manufacturers, usually with 20 to 250 people and a team that retypes quotes, orders or invoices every day.

Do we have to replace our software?

No. We build around what you run now, such as QuickBooks, NetSuite or Acumatica, or an older system like Prophet 21, Epicor or Sage 100. Older systems usually accept a file import, which we set up.

Is this AI?

Partly. A language model reads messy emails and documents. Matching, prices and rules come from your own data, and a person approves anything the software is unsure about before it goes anywhere.

What happens to our data?

Access can only read wherever your systems allow it, using keys limited to the task. Your data stays in your systems and the tools set up for your project, and it isn’t shared with other clients. The work is covered by a written agreement and an NDA.

What if it gets something wrong?

Lines the software is unsure about go to a person instead of being guessed, and your team approves outputs before they reach a customer or your books. Every change is logged.

What does it cost?

The first build is a fixed fee, agreed in the proposal before work starts. After it, an optional monthly plan covers new workflows and upkeep. Software subscriptions and model usage are passed through at cost.

Who does the work?

Noah builds it himself, from the interviews to the finished workflow. He has built and maintained software and websites for businesses since 2014.

Do you build websites too?

Yes. Endcap designs websites and brands, and some companies need both. See website design.
