A weekly report that is ready to review

The aim is a report your team can use without rebuilding it from scratch every week. Start with the decisions it should help someone make.

Bring the report you use today

A recent spreadsheet, email, or slide deck is more useful than a long feature list. Mark the sections people act on. Identify what you copy from another system, what you calculate, and what you explain in your own words. If nobody uses a section, discuss whether it belongs in the new report.

Write a simple reporting brief

Audience: the owner and two team leads.
Timing: Friday morning, covering the previous seven days.
Sources: the agreed inquiry tracker and project list.
Result: a short email with changes, open items, and links.
Review: a team lead checks the draft before it is shared.

For each measure, agree on its meaning. Does “new inquiry” mean a new person, a form submission, or a qualified conversation? Which date and time zone apply? These decisions matter more than the style of the summary.

Separate calculation from commentary

Use repeatable calculations for totals and comparisons. AI can help organize notes or draft an explanation, with the underlying figures and records available for checking. A plausible paragraph should never become the only place a number exists.

Missing information should be visible. Decide what happens if one source is unavailable, a record is duplicated, or someone updates last week’s work late. The report can flag the issue or wait for review, according to the process you agree on.

Run the same week both ways

Prepare a report manually and with the proposed setup using the same dates and sources. Compare the totals, the important changes, and the actions a reader would take. Record the preparation and correction time. Try a week with missing data as well as a normal week.

Make ownership part of the setup

Choose who receives the draft, who can change its rules, and who responds when it cannot run. Document the connected accounts and recurring tool costs. A useful report should remain understandable when someone takes a holiday or a system changes.
