Test a defined task against your current process before committing to a tool.
Define the task
“We should probably be doing something with AI” is a common starting point. It is also too broad to make a useful buying decision. Before asking which product to use, write a short description of your business: who you serve, how work comes in, and what your team does with it.
For example: “We run three service locations. Customers call, email, and fill in a form. Each manager keeps their own notes. I want to understand whether AI changes how we should handle any of that.” That is enough to begin a useful discussion.
Choose a test case
Pick one task that is understandable, reversible, and easy for someone on your team to review. Drafting a checklist from public information can be a better first example than connecting a tool to your entire inbox.
Write down the input and the desired output. “Help with marketing” is broad. “Use this public service description to draft five questions customers might ask” is specific enough to inspect. The first experiment should help you learn what the tool does, rather than prove that your business needs it.
Decide whether to proceed
- Explore: there is a relevant use and a sensible way to test it.
- Wait: the idea depends on cleaner information, a team decision, or more understanding.
- Skip: the current process is good enough, or a simpler change would do the job.
Those are all useful outcomes. If an existing form, shared document, or setting solves the issue, discovering that is progress. You do not have to force an AI tool into the answer.
Decide what you want to learn
A useful question might be whether the output is accurate enough to review quickly, whether staff find it understandable, or whether it introduces more checking than it removes. Keep a note of what surprised you and what still needs an answer.
